Administrative Assistant

The person in this role will need to be a problem-solver and an organizational force given complex calendaring and travel planning. Additionally, the ideal candidate will have exceptional communication skills and will be resourceful in building relationships across TOTVS ecosystem.

Responsibilities:

  • Manage our offices (organization, supplies, etc)
  • Take and deliver messages
  • Provide information to callers
  • Proofread, research and compile special reports
  • Maintain office equipment
  • Coordinate facilities issues and office moves
  • Conference scheduling for our meetings
  • Set up local and off-site meetings
  • Make travel arrangements for our team
  • Log, track, and process expense reports and check requests
  • Process purchasing requests

Requirements:

  • A minimum of 2+ years of related experience.
  • Excellent written and verbal communication, organizational, and interpersonal skills.
  • Can be a team player, flexible, intuitive, self-motivating, detail-oriented, and highly organized.
  • Working well independently, prioritizing and exercising sound judgment are critical skills required.
  • Able to multi-task and maintain professionalism while working with a variety of confidential information.
  • Working knowledge of Word, Excel, PowerPoint, Mail (Mac) and iCal (Calendar).

Bonus

  • You speak a second language, ideally Portuguese¬†and/or Spanish.
